ii Should we use ChatGPT, Claude, Microsoft Copilot, or Notion AI?
It depends on what you actually need it for, what your team already uses, and what the budget tolerates. ChatGPT Team is strong for general knowledge work and prompt-heavy workflows. Claude is preferred where long-context document work and careful writing matter most. Microsoft Copilot makes sense when your team lives in Microsoft 365 and you want AI in the apps they already open. Notion AI is the right answer when your knowledge already lives in Notion and you want it surfaced in place. The question is rarely which model is best in the abstract — it is which fits the workflow your team is in five days a week. The audit narrows that down quickly.
iii Zapier, Make, or n8n — which is right for us?
Zapier is the most polished, the most expensive at scale, and the easiest for a non-technical team to maintain. Make (formerly Integromat) costs less per operation and offers more sophisticated logic, at the price of a steeper learning curve. n8n is the self-hosted option — open source, no per-task pricing, and the right answer when your data cannot leave your infrastructure or your task volume makes SaaS pricing unworkable. Most engagements settle on one primary platform plus the occasional native integration. We map the volume, the technical comfort of the team, and the data-residency requirements before we recommend.
iv How much does this engagement cost, and what do we get for it?
Tool selection is scoped as a project rather than a retainer — typically two to four weeks depending on the breadth of the stack. The deliverables are a written requirements summary, a vendor-neutral comparison covering the realistic shortlist, a subscription audit of what you are already paying for, the configured setup of the chosen tools, the integrations connecting them to your existing software, and a handover document your team owns. The ROI is rarely about Aureole’s fee — it is the consolidations and downgrades the audit surfaces, which often offset the engagement on their own before the new tool earns a single hour back.
v What happens after the setup — do we need to keep paying you?
No. The handover document and the configuration are designed for your team to run independently. Some clients move on from there entirely. Others ask us back in six or twelve months for a tool re-evaluation as the market shifts, or commission a custom-automation project once the basic stack is settled. A small number prefer a maintenance retainer that covers tool updates, billing reviews, and tuning. All three are valid. None are required. The default outcome is that you walk away with a working stack and our number on file.
vi Can you handle bilingual English and Chinese tool selection?
Yes. Our team works fluently across English and Chinese, and we test bilingual capability directly rather than relying on a vendor’s marketing claims. For some workflows the major Western platforms handle Chinese well; for others — particularly anything involving simplified-Chinese document processing at scale, or compliance with mainland data-residency expectations — different tools enter the shortlist. Where regional availability or hosting matters, we narrow against that constraint up front.
