AI Workflow & Automation

Powered by AI. Run by people.

Practical automation for real business processes — not technology demos, but workflow improvements that save measurable hours every week. We start with how your team actually works, then build the simplest thing that solves the problem.

01 — What’s Included

Four services.
From audit to adoption.

AI adoption that actually works follows a predictable sequence — understand the current workflow, identify where automation adds genuine value, build the automation, and train the team to use it.

We structure every engagement around that sequence because skipping steps — particularly the first one — is how businesses end up paying for tools nobody opens.

N° 01

AI Workflow Audit

Foundational

Before recommending any tool or building any automation, we study how your team actually works — not how the process diagram says they work, but how they actually spend their time, where the repetitive tasks live, and where manual effort creates the biggest drag on throughput. The audit maps your current workflows, identifies which tasks are realistic candidates for AI-assisted automation, and estimates the time savings honestly. The deliverable is a prioritised list of opportunities ranked by effort-to-impact ratio — not a sales pitch for every AI tool on the market.

N° 02

Tool Selection & Setup

Implementation

The AI tool landscape changes monthly. What was cutting-edge six months ago may already be obsolete, overpriced, or replaced by a better alternative. We evaluate tools against your specific use case — functionality, cost, learning curve, integration with your existing systems, and vendor stability — then handle the setup: account configuration, API connections, integration with your current software stack, and the initial configuration that turns a generic tool into something genuinely tailored to your workflows. We hold no vendor partnerships and no referral agreements. Our recommendations are based on what actually works for your situation.

N° 03

Custom Automations

Build

Off-the-shelf tools handle the common cases. Custom automations handle yours. We build automated workflows that connect your existing tools and eliminate the manual steps your team performs repeatedly — data entry, document generation, lead routing, report compilation, content processing, notification routing, and the dozens of copy-paste tasks that quietly consume hours every week. These are built on established platforms like Make, Zapier, n8n, or with custom scripts depending on complexity and your technical environment. Every automation ships with documentation and a maintenance plan, so it never becomes another black box nobody understands.

N° 04

Team Training

Adoption

An automation that nobody uses is worse than no automation at all — it cost money to build, and it sits there generating maintenance overhead. Every engagement includes training tailored to your team’s actual skill level. Not a generic AI overview seminar. Hands-on sessions with the specific tools and workflows we have set up, covering day-to-day usage, edge cases, troubleshooting common issues, and knowing when to override the automation and do something manually. We also provide written documentation and quick-reference guides your team can consult long after the training sessions are done.

02 — Our Approach

Process first.
Technology second.

The AI industry has a credibility problem — too many demos that work for thirty impressive seconds and break in production, too many “AI-powered” products that are wrappers around a single API call with a nice interface.

Our approach is deliberately grounded. We start with your actual problem, not with a technology hunting for a use case.

i

Process first, technology second

We do not lead with AI. We lead with your workflow. The question is not “where can we use AI?” — it is “what takes too long, what gets done inconsistently, and what would you automate if you could?” Sometimes the answer involves AI. Sometimes it is a simple Zapier flow connecting two tools you already pay for. Sometimes it is reorganising a spreadsheet. We recommend the simplest solution that solves the problem.

ii

Measurable outcomes, not impressive demos

Every automation we build has a defined success metric before we start. “Save the marketing team four hours per week on report compilation.” “Reduce lead response time from six hours to fifteen minutes.” “Eliminate manual data entry for invoice processing.” If we cannot define a measurable outcome, the automation probably is not worth building — and we will say so plainly before any work begins.

iii

Built to be maintained by your team

We design automations on the assumption that you will eventually need to modify them without calling us. That means clear documentation, modular design, mainstream tools rather than custom code wherever possible, and training that covers not just “how to use it” but “how to change it.” When custom code is necessary, it is commented, version-controlled, and accompanied by a maintenance guide. The goal is independence, not dependency.

iv

Honest about limitations

AI is good at pattern recognition, text generation, data extraction, classification, and summarisation. It is not good at judgement calls, regulatory compliance, creative strategy, or anything that requires understanding context that changes frequently. We are transparent about what AI can and cannot do well for your specific workflows — and we design the workflow to keep a human in the loop at the right stage rather than pretending full automation is possible when it is not.

03 — Who It’s For

Businesses that want AI to save time, not create buzzwords.

Our AI workflow services are built for businesses that have identified a practical problem — too much time on repetitive tasks, inconsistent processes, slow response times — and want to know whether automation can solve it.

You do not need to be technical. You do not need to have an opinion on large language models. You just need to know where your team’s hours are going, and want to get some of them back.

Our AI workflow clients tend to fall into a few categories — and the engagement looks different in each one.

  • i Professional services firmsLegal, accounting, consulting, immigration. High volumes of documents, structured data entry, and client communications that quietly consume billable hours.
  • ii E-commerce and online retailersOrder processing, inventory updates, product description generation at scale, customer enquiry triage, multi-channel listing management.
  • iii Marketing and content teamsRepetitive reporting, multi-channel campaign coordination, lead qualification, content production pipelines, analytics roll-ups for client decks.
  • iv Operations-heavy SMBsAnywhere a process today is “open spreadsheet, copy from email, paste into CRM, forward to colleague” — that pattern is automation-ready almost every time.
  • v Owners trying AI for the first timeYou have heard the noise. You want to know what is actually useful for your business — without buying ten subscriptions to find out.

Where this does not fit: if you are looking for an enterprise AI strategy spanning multiple departments with executive alignment workshops and a twelve-month roadmap, we are probably not the right scale. What we do is identify specific workflows, build specific automations, train your specific team, and measure specific results. Focused, practical, and designed to produce return within weeks rather than quarters.

05 — Frequently Asked

Everything we
get asked about AI.

If a question is missing here, the contact link at the foot of the page goes straight to the person who would answer it. No ticket queues, no funnels.

i Is this just chatbots?
No. Chatbots are one application of AI, and frankly one of the most oversold. Our work focuses on workflow automation — the behind-the-scenes processes that take your team’s time: data extraction from documents, automated report generation, lead routing, email triage, content production pipelines, and the repetitive task chains that consume hours every week. If a chatbot genuinely solves a problem for your business, we will build one. But most businesses get far more value from automating internal workflows than from putting a chatbot on their homepage.
ii What kind of tasks can be automated?
Tasks that are repetitive, rule-based, or involve processing structured data are the strongest candidates. Common examples: pulling data from forms and entering it into your CRM, generating weekly reports from multiple data sources, routing incoming leads based on criteria, processing invoices, drafting content from templates and structured data, sending follow-up emails based on triggers, and monitoring for changes that require action. The audit phase identifies which of your specific workflows are candidates based on frequency, time cost, and automation feasibility.
iii Do you build custom AI tools, or just configure existing ones?
Both. Many automation needs are well served by configuring existing platforms — Make, Zapier, n8n, or platform-native automation features in tools like HubSpot, Notion, or Slack. When your need is more specific — custom document processing, specialised data extraction, or workflows that connect tools without existing integrations — we build custom solutions using APIs and scripting. The choice depends on your specific requirements, budget, and how much flexibility you need going forward.
iv What AI platforms do you work with?
We work with the major AI platforms and models — OpenAI (GPT series), Anthropic (Claude), Google (Gemini), and open-source models where appropriate. For automation infrastructure, we use Make, Zapier, n8n, and custom integrations. For specific use cases, we evaluate specialised tools across categories like document processing, image generation, transcription, and data analysis. We hold no exclusive partnerships with any vendor, which means our recommendations are based entirely on what works best for your use case, your budget, and your technical environment.
v How long does setup take?
A typical engagement runs three to six weeks from audit to deployed automation with training complete. The audit takes one to two weeks. Tool selection and setup takes one to two weeks. Custom automation building and testing adds another one to two weeks depending on complexity. Training happens concurrently with the final build phase. Simple automations — connecting two tools with a trigger-action workflow — can be deployed in days. Complex multi-step automations with custom logic take longer. We give you a specific timeline after the audit, not before.
vi Do you train our team to use the automations?
Yes — training is included in every engagement, because automations that do not get adopted are a waste of everyone’s investment. Training is hands-on and tailored to your team’s actual skill level: not a lecture about AI concepts, but practical sessions with the specific tools and workflows we have built. We cover daily usage, how to handle edge cases, basic troubleshooting, and when to override the automation. Every team member who interacts with the automation receives training, and we provide written reference materials they can consult afterward.
vii What’s the ROI on AI workflow automation?
It varies by engagement, which is why we define measurable targets before building anything. Typical results: four to ten hours saved per team member per week on automated tasks, response times reduced from hours to minutes for lead handling, and meaningful drops in error rates on data-entry-heavy processes. We measure actual results after deployment and compare them to the pre-automation baseline. If an automation is not delivering the expected value, we adjust it or recommend a different approach. The audit phase includes a realistic ROI estimate so you can make an informed decision before committing to the build.
viii What happens to data privacy and our internal information?
We treat data handling as a first-class design constraint, not an afterthought. Before any automation touches sensitive information, we map what data flows where, which third parties see it, and which providers offer enterprise terms with data-retention guarantees. Where regulated data is involved, we prefer providers with the appropriate certifications and we keep sensitive processing on platforms you already trust. For workflows where the privacy posture is genuinely uncertain, we will tell you — and we will design around it rather than crossing fingers.
